2015 European GLAMwiki Coordinators meeting

Inaugural GLAMwiki Coordinators Meeting

Wikimedia France office, Paris 7-8 March (Saturday-Sunday) 2015

"A two-day meeting for people in the European Wikimedia movement

who have responsibility for coordinating the GLAM-wiki activities in their region"

Organised by Europeana and Wikimedia France, and following the recent meeting of Wikimedia Chapters’ CEOs/EDs also hosted in Paris, the time has now come for the GLAMwiki Coordinators of Europe to get together for our first actual face-to-face meeting too!

GLAM
GLAM

We have many GLAM activities across the continent, an increasing number of Chapters with GLAMwiki coordinators among their staff, and an increasing desire and ability to coordinate and compare our activities.

Points of discussion

edit
Meeting of GLAM Wiki coordinators and organisers at Wikimedia France in March 2015

During the two days we expect to address the following questions. We won't "solve" everything, but communication lines will be smoother! We will touch on improved cross-chapter GLAM coordination/planning; best-practices for building a network of WiRs; funding and budgets; GLAMwikiToolset training; impact-measurement (stats, tools),.. etc. etc.

Specific sessions planned are:

  • How to better share our GLAM experiences among the movement?
  • What could be the most meaningful indicators to measure impact in GLAM Wiki projects?
  • Listing the key tools, channels, pages that are crucial for everyone to know!
  • How to animate GLAM so that they share their Wiki experiences with other GLAM?
  • Training-the-trainer on the GLAMwikiToolset, and consultation about how the Toolset should proceed in the future
  • Pitching future pan-European events
  • How to scale-up local projects by involving other chapters?
  • Preparing reports for the 2015 GLAMwiki Conference in the Netherlands, and other outcomes.

  • Employee: 11 (FI, NL, PL, SR, UK, EE, SE, CH, DE, FR, Europeana)
  • Board member: 4 (AT, UA, CZ, BE, IT)
Other Notes and Questions
Question from Susanna Ånäs (WM FI) regarding training Jonathan Cardy: Train the trainers program in UK, 30 people gone through the process, which has made it possible to profile the participants.

Scheduling things that they are spread out. Some editors are keen to go everywhere.

Pulling the chapter out of the arrangement to make connections more sustainable. Focus on the strategically important ones.

Channels: mailing list notice, personal invitation, watchlist notice (for regulars); Wikiprojects (for outreach)

Provide support in organization of the event.

Question from Susanna Ånäs (WM FI) regarding WLM Q: How were monuments databases licensed before they were incorporated in Wiki Loves Monuments. Did you opt for CC0? Did you import to Wikidata?

Mykola Kozlenko (WMUA): in our case databases were approved by governmental institutions (i.e. they are compilations of documents approved at different times by different institutions). Hence they were licensed same way as government documents - PD in case of Ukraine.

We did not opt for CC-0, although it might be possible, but we published the entire database under CC-BY-SA on Wikipedia

Importing to Wikidata was currently impossible as Wikidata does not support multilingual fields and we need such fields to add an address.

Question from Susanna Ånäs (WM FI) I find the Swiss method of showing GLAM contribution for PD works excellent! Is this method an alternative to the partnership templates or a form of those? How are they tracked? How do we replicate the same? Can we make the process/templates/pages/listings more simple?

Answer: This is not a alternative for the partnership templates. It is an addition to the license tag. It is by the collections of the Swiss Federal Archives parametrized on the signature of each pictures. So it depends on the picture itself because every picture has it own signature. It would be great this would be a general license tag which every GLAM can use and which also would be shown by media viewer. At the moment it is only a template on their user pages. For example: https://commons.wikimedia.org/wiki/User:Swiss_Federal_Archives/Attribution-Recommendation or https://commons.wikimedia.org/wiki/User:Swiss_National_Library/Attribution-Recommendation

This is for GLAM a good argument for sharing pictures on Commons because there are not only legal questions. To be correct referenced is also a question of the correct scientific citing.

Question from Liam Wyatt (Europeana) about sub-communities in a country
  • Minority groups not presented by other chapters on the meeting
  • Czech Republic and Czechoslovakia.
  • Wikimédia France with African project (support to French speaking usergroups, thorgs, chapters : https://meta.wikimedia.org/wiki/WikiFranca/fr
Wikimedia CH User page for the institution + “blue tick” to be recognized as the “official account”

See images below*

Actually the initials for the employee which answers questions [for ex. ^Mm --BAR 11:32, 18. Apr. 2014 (CEST)] its not mandatory but it is recommended by the WiR to the institutes as a best practice.

Wikimedia Amical Tips :
  • Prioritizing through content gaps analysis
  • Not start a project if the community does not follow

Question from Barbara Fischer (WM DE) - welcoming of volunteers?

Mentorships for education program

Real-life / personal contact

Europeana Discussion about possible role of Europeana. What kind of platform should it be?

Àlex Hinojo proposal to have training for GLAMs and possible future relation between Wikimedia and Europeana - every major thing that Europeana does should integrate Wikimedia, especially build relations with Wikidata (e.g. Europeana Data Model)

Session 2: World Café around 3 questions

edit
How do we share information in our movement around GLAM activities?
Objectives Means
Promoting an event (before&after, internally & externally) / PROMOTION
  • channels and networks of partner organizations,
  • watchlist notices,
  • project pages on wikis

  • Promote it in the Signpost
  • Getting sufficient categorisation of contents so it becomes relevant for a chapter a chapter / community
  • Edit-a-thons on reusing media
  • Meetings in person
  • Lists of unused media (bots)
  • Tools for unused images (suggestion tools)

Tools: Brainstorming listing all channels, pages, tools that we use to animate GLAM wiki community

  • Cultural-partners - Liam
  • Vicuña - Àlex
  • Mass Download tool (multimedia/metadata) - Axel
  • x-tools
  • Wiki ∼ APIs
  • watchlist notice - Jan
Tools we need:
  • More tools for STATISTICS
  • Image metrics should be more automated
  • adding images to Wikipedia semi-automatically
  • easier tagging and categorising (WikiData team working on it)
  • notification (RSS?) of metadata change
  • upload simple images like F1010.tif with no metadata and crowdsourcing of metadata from ∅ on
  • tool to email editors in an area
  • tool talkpage post or email on user box
  • tool to monitor increased editor skill sets after training
  • tool to return metadata to GLAMs
  • team to maintain orphan tools
  • tool to map where we have articles without image
Generally we need: organized maintenance of important tools.
Pages, channels we use: - Village pump
  • cultural partners list
  • Outreach wiki
  • this month in GLAM
  • GLAM project pages on wikis
  • mailing lists (Wikimedia-l, lists of chapters, GLAM list)
  • Facebook groups (global & local)
  • publications (Swedish, Finnish, German)
  • Twitter
  • Wiki meetups pages
  • Glamart global.
Metrics: What could be the most meaningful indicators to measure impact in GLAM Wiki projects?
“Classic” metrics
  • # of images, audio, video
  • use of media in articles / projects
  • reuse outside of Wikimedia projects
  • improvements in metadata
  • # of partnerships
  • # of involved volunteers
  • # of kilobytes
Metrics related to editors
  • Amount of wikidata
  • editor reactivation (former editors)
  • editor retention (existing editors)
  • editors who have learned a new skill
  • new editors / their retention (textual content, adding images, reusing content)
  • Commons (uploading images, curation)
  • existing editors involved
Statistics (pageviews, image use)
  • Wikimedia stats (stats.grok.se) for viewing how often article is read
  • glamorous for measuring pictures on commons
  • new images (in photo projects)
  • usage in articles / projects
  • how often articles with pictures are visited
  • how many pictures are used in Wikipedia
  • reuse of content ⇾ the quality of usages (gallery or infobox)
Content quality
  • # of QI/VI/FP
  • Quality of metadata (enriched with info; structured templates)
  • Image resolution
  • image format and possibilities to reuse (also vector or raster or both etc.)
Partnership sustainability
  • Measuring the skills transfer to (a) GLAM partner(s)
  • follow-up questionnaires to the partners ⇾ measure the long-term impact to the initiative
  • how fast is the response time for Wikipedia related questions
  • follow-up - what happens next? 3, 6, 9 month (refering to the goal and format of partnership)
  • # of autonomous initiatives (initiated & organised by GLAMs)
  • how often Wikipedia projects are done by institutions
External reputation
  • press coverage
  • nr. of partnership requests (even if not actualised)
  • translation of material into other languages
  • good story being told ⇾ change in mentality
Impact of external links on Commons
  • How often the backlinks are visited
  • (re)usage of content related to a GLAM regardless of who uploaded it
  • Wikimedia projects = source of traffic for partner’s website
  • Museums: 1) measuring revenue from digitised images vs 2) measuring increase of interest: visits to website, visits to wiki page, but also visits to museums
Questions and ideas
Question of Liam Wyatt: How to share information in a meaningful way, i.e. that we will read information about others?

Barbara: Pan-European project

Idea to meet on GLAMWiki conference in April to discuss possible communication and more thoroughly a collaborative project.

Idea:ccceddrge GLAM on outreach wiki with meta! (Have GLAM: subpages)
Idea: Have online workshops on tools! (Hangout, Skype)

Have video-conferences for sharing

Session 3: GLAMwiki Toolset

edit
  1. Two types of xml : flat and non flat. GWT does not accept non flat xml files
  2. watch Dan’s videos on metadata mapping
Training - 90% of the use of GLAMWiki Toolset is preparations
1. Get permission to use the GWT
2. Special account for GWT uploads - people change institutions and it is good to make things more stable. Make it clear that it’s for mass uploads
3. Encourage content selection
4. Teach partners to use the tool to make them more autonomous.
5. Clear permissions to use contents
6. Metadata mapping (xml) - preparing the metadata can be replicated in different countries
7. Document on a project page & save metadata xml file so it can be reused
8. Ask for raw xml files for more information, even though these are not completely coherent with templates
Discussion
Whitelisting

Discussion about whitelisting institutions. Can it be done through Europeana?

Jonathan Cardy: We need high resolution files (online !) and aggregators may not have these files.

Micha L. RIeser: Why we need whitelist? Fear of misuse. This seems to be unuseful.

Barbara Fischer: Too bureaucratic to get started.

Sebastiaan ter Burg: It’s not a session for this discussion, although getting domain permission is sometimes complicated.

Avoid asking institutions to give all that they want to upload. The goal is for the GLAM to upload contents themselves ⇒ need for content selection

Flat xml format

In Switzerland there was a huge problem with getting flat-xml file.

Liam Wyatt: Part of the GWT 2.0 application. Also other formats. Will discuss later. Depending on the outcome GWT does not receive any changes without chapter funding.

Metadata conversion

Barbara Fischer: Question about metadata conversion.

Liam Wyatt: Template field may have a different name. Any metadata conversion is a loss of data. Much of the data available on the partner’s website is not relevant for Commons (exhibition information). There is always a field for backlink to find all the metadata in original context. Sometimes it requires changing of information, like filename.

Barbara Fischer: Do we have a list for description fields we want to have on Commons?

Liam Wyatt: Templates that are used that are popular: art photo, artwork, photograph. They are used most. Preset templates in the dropdown list. you can make a template of Your own. Commons community has developed the templates and there is no scientific methodology behind them. Preset mappings was one of the actions planned for GLAMwiki toolset 2.0. After uploading xml it is possible to edit in 2 comparative columns.

Barbara Fischer: It would be useful to present metadata description beforehand.

Liam Wyatt: It is possible to choose good example.

Sebastiaan ter Burg: Few templates that can be used - these templates are accessible.

Autonomity of institutions

Barbara Fischer: Have GLAM institutions followed this on their own.

Sebastiaan ter Burg: Yes. But not uploaded yet. 2 trainings done, but needs xml files during the training. There are GLAMs in Netherlands that can use without any guidance.

Jonathan Cardy: Support for the volunteers in the ebginning, but later they become independent.

Liam Wyatt: The most difficult part is metadata mapping - more or less difficult depending on the system. What is still needed from Commons community: relevant template and categories. Possible semi-automation for categories. Fields in the metadata of institutions.

Templates

Barbara Fischer: Community consent needed for template?

Liam Wyatt: Actually not. It is not a requirement, but is helpful.

Micha L. Rieser: Attribution template. The problem is that you cannot choose your own template? Or more than one license template. This problem existed by upload the Gugelmann collection by the Swiss National Library with the PD template and the own recommendation template.

Barbara Fischer: It is important to have templates.

Liam Wyatt: Creation of partnership template is not part of GLAMwiki toolset. You have to have one in advance. Every mass upload is too unique.

Effectiveness of the use of GLAMwiki toolset

Ginevra Sanvitale: From which quantities it is useful?

Liam Wyatt: As currently it is possible to upload 50 images at once, use upload wizard. For donations of more than 300 it seems to be useful to use GLAMwiki Toolset. The problem is in metadata (too simplistic).

Jonathan Cardy: Question about licensing - CC BY-SA or PD.

Liam Wyatt: GLAMwiki coordinators would think that they dump stuff - question of credibility and reliability. When more than 10% need editing they start questioning toolset and coordinator.

Barbara Fischer: Question about incompetent licensing.

Liam: There are many examples of incorrect licensing, in Europeana and elsewhere, requires manually tagging after upload sometimes.

Barbara Fischer: Question with orphan works remains.

Liam Wyatt: Organizational failure to think about implications of their activity before they start.

Marta Moraczewska: Problem also present in Poland.

Tool for getting metadata from Flickr

Sebastiaan ter Burg: Example of Finnish tool which can bring data in from Flickr. The problem with Flickr is however that the licenses are not up-to-date (still CC 2.0) and don’t have PD in non-Flickr Commons accounts.

Contact for GLAMwiki toolset

Àlex Hinojo: Who you need to contact now, when Sebastiaan ter Burg is no longer there?

Liam Wyatt: There are still people who are familiar of mass upload that can provide personalized assistance : Jean-Fred, Fae, Dan (Europeana) + GWT mailing list (for practitioners) ⇒ https://lists.wikimedia.org/mailman/listinfo/glamtools

Question about Coding da Vinci project

Barbara Fischer: There is a question about categories for Coding da Vinci uploads?

Liam Wyatt: Contact the mailing list and send them xml file. Find most relevant template and draw lines, by taking existing example that can be used. A template of art photo can be used.

Kaarel Vaidla: You can also create a new template on the basis of existing ones.

Structured metadata

Susanna Ånäs: Question concerning structured metadata.

Liam Wyatt: The idea is bringing the power of metadata to commons. Eclectic list of things, which can use the power of Wikidata. Europeana is interested in mapping GLAM schemes for final use in Wikidata

Barbara Fischer: Planned publishing for the second half of the year.

Next steps for GWT

edit
General idea
Original promise of GWT: Chapters funded it, Europeana built it, Wikimedia Foundation runs it. It does not have all the features now, but it functions as intended. The idea now is that we can move on. "version 2" Grant Proposal was vetoed by the WMF, because it needed code-review resources from Wikimedia Foundation and they didn't want to take ownership of the product in the long term. In 2011 it was not possible to do it externally (e.g O-Auth). Feedback about veto was given too late. Now, for a new product that does the same role, it should run on Wikimedia Labs or on Europeana Cloud, or any other external platform. It is now cheaper and easier to be built outside Mediawiki. This gives us the opportunity to revisit the whole investment in GWT since we have to go back to the start anyway. There are three broad options for the next step.

3 big options, on which Europeana asks our GW coordinators group’s opinion :

  • A) Same concept, but built as an external system. Feature-parity relatively quickly. Avoids need for wmf code review. Then, options around implementation (e.g. where to host it, feature scope etc.)
    • Would require a 'proof of concept' grant, followed by larger implementation grant from WMF.
  • B) Upload systems of a 1 by 1 basis, tool that allows a wikipedian to push a single object towards WM projects from GLAM website. Encourages higher usage-ratio of uploaded glam content. Pulling to Commons on an as-needed basis for re-use.
    • Implementation options include Browser extension, Button for GLAM websites, button in Europeana website
  • C) No more software development from Europeana for Mediawiki and rather shift to facilitating the soft side of GLAM Wiki (meetings, workshops, GLAM assistance, etc.)
Opinions

StB : would prefer to have it built outside Labs, because labs stability is questionable and will stay a problem.

Europeana not willing to permanently maintain an external tool for Wikimedia; unhappy with Labs

Option A supported by developers at Europeana (ex: Dan Entous)

Option B supported by project managers at Europeana

Option C is supported by Marketing and Communications

Debate

Barbara Fischer: GLAM institutions say - one of the reasons for cooperation is to increase visibility in the world. If we reduce the idea they will change their mentality. Current motivation will fade away.

Liam Wyatt: Current options will continue to exist. Annual uploads can be made with current tool. Europeana wants to focus on quality and not so much quantity. Commons is full of things that noone is using.

Jonathan Cardy: For short-term, likes option C

Àlex: let’s do a free vote ⇒ Option C wins, although option A got 8 votes in the first round

Anne-Laure: What about combining options ? ⇒ Liam: Then it’s about resources allocation

Ginevra: won’t we have same issues with option A that we have currently with GWT ⇒ Liam: less so, because not depending on WMF for security checks, etc.

Liam (answering Marta) Advantage of Option B: focus on quality, disadvantage : will be politically slow to have 3rd parties (GLAM) actually put their contents

Micha : Some GLAM in Switzerland (for example Swiss National Library or Swiss Federal Archives) prefer to upload complete collections so that haven’t to store the pictures by themselves on a dedicated server. This doesn’t work with option B.

Sebastiaan : over what period of time will this be revisited

Liam : option A & B will require a kind of proof of concept, to end up with a 1to 2 years grant

option B: long negotiation period

option C: can be implemented quickly, Liam’s position continues, also based on the TF’s outcomes

Barbara: who will fund it / how will it be funded ?

Could be a grant application, could be chapters’ money, etc.

Option B - Would it be possible to add a library for GLAMs that do not have their collection online (in a high enough quality)?

Liam: Implementation question. Offline upload and/or temporary online storage space could potentially be included in scope of options A or B if desired.

Vote (choose two of the three)

First vote: Option B received no votes, is excluded.

Second vote: Option A receives some 'tentative' votes, option C overwhelming winner.

Please email your arguments of your choice to Liam if you wish.

Session 4: The Pitch

edit
Pitching ideas
Wiki Loves Art (BE/NL)

http://www.wikilovesart.nl/

http://be.wikimedia.org/wiki/Wiki_Loves_Art

http://nl.wikimedia.org/wiki/Wiki_Loves_Art_2016

Now Netherlands and Belgium. In February 2016. Pictures in museums, galleries, etc. Which part of their collection needs to be photographed. Model for modern art is different from historical art, we have about 5 models. Focus of Dutch is different than Belgian. Belgium - getting museums on board. Netherlands - everyone participate!

Wiki Loves Art + Global South (DE)

Like the idea of Wiki Loves Art, but as well Global South. Proposes new section - prioritize collections coming from the Global South. Involve also chapters from Global South.

Wiki Loves Africa on French wiki - doing something similar (traditional costumes etc.).

Discussion: Anthropologist position - they do not need their photos, but want their things back. Active local community involvement can resolve possible conflicts.

There actually has been interest from colonies to have relevant information.

See here for example: http://ortelia.com/new/portfolio/the-mobile-museum-project/

or http://www.materialworldblog.com/2012/08/the-mobile-museum-pilot-project/

Wikiproject On Tour (Amical)

Shared account: WeAreWikipedia. Touring competitions / projects on Wikipedias. We can choose an European topic.

Wikimaps Expedition (FI)

The idea is an on-location camp for volunteers globally (1 week). E.g. disaster area, heritage site. Combines onsite and online activities. Before event: Local connections with archives. During event period: documentation, collection events and establishing editing practices. Being together + producing content. Planned between Finland and Sweden next summer - for pilot.

Discussion: Replicable, will inquire into it.

European Science Photo Competition (EE)

https://commons.wikimedia.org/wiki/Commons:European_Science_Photo_Competition_2015

Make a successful local competition international. Quality contributors from scientific organizations and Wikimedia movement = quality images on Commons that can be used on every Wikipedia.

Wikisource CoderDojo (IT) (https://coderdojo.com/) https://it.wikisource.org/wiki/Wikisource:Bar#Wikisource_al_CoderDojo_di_Trento

International initiative to teach kids how to code. Putting together coderdojo and wikisource. Initiative in library read some WikiSource materials. CoderDojo has local branches - easy to replicate. About younger people to educate them about Wikipedia and open culture.

Wiki Loves Earth (UA)

http://wikilovesearth.org/ or https://commons.wikimedia.org/wiki/Commons:Wiki_Loves_Earth_2015

On the basis of Wiki Loves Monuments. There is nature around us - thousands of notable natural sites are lacking photos! There are many institutions for collaboration - nature protection, parks & reserves, also asociations of nature photographers - both article and photo donations. Scalable, because 2014 15 countries participating. Takes place May-June.

Volunteer exchange (RS)

Exchanging GLAM volunteers. In the end of the projects those volunteers can work in an institution of their country. E.g. University library - using tools and digitizing. Greater motivation for participants and would scale up local projects.

Event organizers User right

Event IP marking (on location or not). Edits from new users allowed on a larger scale. No captcha on external links. 24 hours after the event would revert to normal. Make it easier to organize events. Endorsement!

Discussion: We can all endorse!

Senior Citizens write Wikipedia (CZ)

Not idea of Wikimedia CZ, but works well in Czech Republic. High amount of editors. Inspire them to cooperate with local museums and GLAMs. People are happy to share experience.

Discussion: Maybe idea for Inspire Campaign Gender Gap?

Silver Knowledge on German Wikipedia. Problem with sustainability - in a general plan.

Learning pattern on Meta available

Involving experts? - Wikimedia UK has done it somewhat, but it is an experiment.

Swiss GLAMmies (CH)

Regularly a Commons-page with a picture and small text that leads to a Wikipedia-article. Then promoted that page on social media. So social media users are lead to Commons and then to Wikipedia. This is something which we can offer GLAM, that their pictures are more visible. At the moment we have not sufficient human resources to make it regularly. Also the translation to different Swiss languages makes it difficult. But the idea can easily reproduced by other wikipedia versions and chapters.

Sum of All Pictures

Every institution talks about its own, but it is about bringing the power of Wikidata to GLAM. There is a project run with Amical and museums are extremely happy with it.

Europeana

Interested in joining in for European project. Europeana Sounds, Fashion and Art, slices into the content.

UA - wax cylinders project (digitisation of late 19th-early 20th century recordings of folk music). Few GLAM institutions think about donating sound recordings, although they are of great value.

Proposals by Finland
  • Wikimaps (historical maps, historical geodata, cross-project linking, mashups. Could Europeana channels be linked?)
  • Metadata enrichment & upload tools development (working with different content types: maps, photographs etc; reading different sources: Flickr, OAI-PMH, variety of local databases; enriching metadata: extracting & linking to persons, places, techniques, dates…)
  • Methods for working with local heritage (challenge with notability, sourcing > Which platform to work with? Europeana roadshow projects such as 1914-1918 are related)
  • Hacking, hackathons, lightweight development, usage of Wikidata, learning Wikidata (for GLAMs), innovating with crowdsourcing and Commons
